Introduction

Welcome to Dub Rooms. These terms and conditions (“Terms”) govern your use of the Dub Rooms website (the “Platform”). By accessing or using Dub Rooms, you (Host or Guest) agree to comply with and be bound by these Terms. If you do not agree with these Terms, please do not use any our services. Please read all our terms carefully as they apply to you. These terms and conditions are legally binding agreement between Dub Rooms and you the Host or you the Guest. These terms set out the right and obligations between Dub Rooms and you in accordance with the laws of Ireland.

Definitions

“Dub Rooms” refers to our online platform registered in Ireland.

“User” or “Users” refers to anyone accessing or using the Dub Rooms platform.

“Host” or “Hosts” refers to users offering accommodation for rent on Dub Rooms.

“Guest” or “Guests” refers to users seeking accommodation on Dub Rooms.

“Content” includes but is not limited to text, images, videos, and any other material displayed on the platform.

“Property” refers the home (and adjoining land) in which you are renting a room.

User Responsibilities and Using the Dub Rooms Platform

Users must be at least 18 years old to use Dub Rooms and possess the legal capacity to enter into binding agreements in order to access and utilise the Dub Rooms Platform, whether acting as a Host or a Guest.

Guests agree to make a booking which is equal to or exceeds the minimum booking requirement which is 4 weeks (28 days).

Users agree to provide accurate and up-to-date information during the registration process.

Users are responsible for maintaining the confidentiality of their account information.

While acknowledging the challenges of online user verification, we do not assume responsibility for verifying the identity of any Host or Guest. However, in the interest of transparency and fraud prevention, and in compliance with applicable laws, we reserve the right to:

i. Request Guests or Hosts to provide government identification or other information, or conduct additional checks to verify their identities or backgrounds.

ii. Conduct research on Guests and Hosts through third-party databases or other sources and request reports from service providers.

iii. Obtain reports from public records of criminal convictions or sex offender registrations, or conduct equivalent background checks, where sufficient information is available to identify Guests and Hosts.

Our commitment is to prioritise safety and security within our platform, recognising the limitations of online verification methods.

Accommodation Listings

Accommodation Providers are responsible for the accuracy of their listings.

Dub Rooms may moderate or remove listings that violate our policies or local laws.

Booking and Payments

Guests agree to pay the specified fees for accommodation booked through Dub Rooms.

Payments are processed through secure third-party payment processors.

Dub Rooms may charge service fees for the use of its platform.

Cancellations and Refunds

Hosts and Guests must adhere to the cancellation policies specified in each listing.

Dub Rooms may facilitate refunds in accordance with its refund policy.

User Conduct

Users agree not to engage in illegal, harmful, or abusive conduct on the platform.

Users must respect the privacy and rights of others.

Intellectual Property

Dub Rooms retains ownership of its platform, including all intellectual property rights.

Users grant Dub Rooms a license to use, display, and distribute their content on the platform.

Privacy

Dub Rooms collects and processes user data in accordance with its Privacy Policy.

Users are encouraged to review the Privacy Policy for details on data handling.

Termination

Dub Rooms reserves the right to terminate or suspend user accounts for violations of these Terms or for any other reason.

Governing Law

These terms are governed by the laws of Ireland. Any disputes shall be resolved in the courts of Ireland. The majority of the terms and conditions only apply to bookings which exist under licence agreement ie renting a room in your principal private residence and not a tenancy agreement. Hosts have no protection under license agreement unless terms and conditions are put in place and agreed upon by both parties.

In the case of your booking being a tenancy agreement the Residential Tenancies Act 2004 take precedence over any terms and conditions by Dub Rooms.

Please note, if you rent out a self-contained unit on your property, it may fall under the rent a room scheme by Revenue but it can also fall under the tenancy act and you may be required to register with the RTB. As per citizens information:

“However, if the self-contained flat or apartment was originally part of the main house, you can choose to opt out of these rules. This option is available under Section 25 of the Residential Tenancies Act 2004. You must give the tenant notice in writing, before the start of the tenancy, if you want to do this.”

We only accept rooms in owner occupied accommodation which is not a self-contained unit. Hosts need to be aware that a lot of our terms and conditions cannot be applied to bookings which fall under tenancy agreements. Hosts need to be fully aware of their legal obligations. It’s not the role of Dub Rooms to educate Hosts on tenancy laws in Ireland. Dub Rooms offers no legal advice to Hosts or Guests. In addition, Dub Rooms in under no circumstance will be liable for any Host breaching those laws. Hosts are free agents.

Limitation of Liability

No Consequential Damages: In no event shall Dub Rooms, its affiliates, or its service providers be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, goodwill, or other intangible losses arising out of or in connection with the use or inability to use the Dub Rooms platform.

Limitation of Direct Damages: To the maximum extent permitted by applicable law, Dub Rooms’ total liability for any claim arising out of or relating to these Terms or the use of the Dub Rooms platform, whether in contract, tort, or otherwise, shall be limited to the total amount paid by the user to Dub Rooms in the twelve (12) months preceding the event giving rise to the claim.

Assumption of Risk: Users acknowledge and agree that the use of Dub Rooms is at their own risk. Dub Rooms does not guarantee the accuracy, completeness, or reliability of any information on the platform. The platform is an open marketplace.

No Liability for Third-Party Actions: Dub Rooms shall not be liable for any acts or omissions of third parties, including but not limited to Hosts, Guests, or payment processors.

Force Majeure: Dub Rooms shall not be liable for any failure or delay in performance due to acts beyond its control, including but not limited to acts of God, natural disasters, government actions, and other force majeure events.

Legal Responsibility: You have a responsibility to ensure you comply with the law. Should Dub Rooms be levied, fined or suffer any financial loss or liability as a result of your actions you will be fully liable for any financial liability imposed on Dub Rooms.

Disclaimer

Dub Rooms provides the platform “as is” and “as available” without any warranties of any kind, either express or implied. Dub Rooms disclaims all warranties, including but not limited to the implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

Changes to Terms

Dub Rooms may update these Terms at any time. Users will be notified of significant changes. By using the Dub Rooms platform you agree to any amendments made to our terms.

Scope of Services

Dub Rooms is an online platform and third-party marketplace which allows Hosts to showcase their listings to Guests. Guests can book room from a minimum for 4 weeks (28 days) to 18 months. Dub Rooms will always be a third party. Dub Rooms is never an employee, employer, agent, joint-venture or partner of those using our services. Dub Rooms does not exert control or direction over you, either generally or in the context of your performance under these Terms and Conditions. You retain complete discretion over whether your accommodation is listed on the Dub Rooms platform.

In order to enhance the visibility of listings to potential Guests and promote the Dub Rooms platform, listings and other user-generated content (both from Hosts and Guests) may be displayed on various platforms, including but not limited to other websites, applications, emails, and online/offline advertisements.

Terms and Conditions – Guests

Introduction

Dub Rooms is a marketplace for Hosts and Guests to connect. The safety of both parties is paramount and relies heavily on both parties being fully transparent and providing accurate information. As a Guest it should be your intention to book a room for the duration of your studies or work contract for at least the minimum period of 4 weeks (28 days).

As a Guest you agree to abide by all of our terms and conditions. All the information you have provided is open, transparent and truthful. To the best of your knowledge, you are not aware of any reason that would prevent you from staying with one of the Hosts listed on Dub Rooms.

Hosts rely on the information you provide in order to make a decision on selecting a Guest. Should you have falsified or excluded material information from the information you provide to the Host you agree to forfeit the service fee paid and can be asked to leave the Host’s accommodation. Example of material information includes but is not limited to:

  • Your age
  • Reason for staying in the accommodation
  • Working or studying from home
  • Bringing a pet with you
  • Needing to have visitors
  • Using the incorrect name of the company you’re working at or the school you are studying at.
  • Not disclosing special requirements which make the room and accommodation you booked unsuitable.
  • Foods types which are essential to you.
  • If you work night shifts or are typically active when most people sleep.

Guests also confirm and agree that they are aware that in some cases their booking may not be under license and fall under the Residential Tenancies Act 2004. In general, most rooms rented in a person’s principal residence are rented out under license. In the case of a booking not being under license, Residential Tenancies Act 2004 takes precedence in any overlap of the terms and conditions set out by Dub Rooms.

Our Platform

You use our platform of your own free will. While we do our best to validate each Host listed on Dub Rooms this doesn’t guarantee they will provide their services as expected. When possible we will try to visit the property and mark the property as being visited. However, when this has not happened the property will be clearly marked as such.

Account Creation

We only permit one account per person. You are prohibited from creating multiple accounts. We will automatically create an account for you as part of our booking process. This data can include but not limited to Your fist name, last name, DOB, email, telephone number, address, any information you provide about yourself relevant to the Host.

By providing this data you confirm the data about yourself is complete and accurate and it is the only personal data you will use on our platform. Users are responsible for ensuring that they don’t have multiple accounts. Users are not permitted to create additional accounts using modified information eg different names. By doing so you are in breach of our terms and conditions. You also agree to waive your right to a refund of the service fee in the event of multiple bookings being made from multiple accounts by the same user.

You are also prohibited from creating another account if you have been previously banned from our platform. If you created a booking after being previously banned, Dub Rooms reserves the right to cancel your booking at any time without refunding your service fee or requiring the Host to return your deposit.

Finding the right room for you

Each Host and Guest is unique. Please make sure you read each listing description carefully. You can use our filters to find rooms which match your specific needs. You as a Guest have a responsibility to ensure you have booked the correct room which matches your needs.

Room & Stay Definitions

The following are the types of rooms that can be booked and their definitions:

Private room & private bathroom: This is your own private room and bathroom. It could be a single or double bed. The bed will have a mattress, pillows, a duvet and two sets of sheets and duvet covers. You will have access to a kitchen. The kitchen will have at a minimum, a hob, oven, fridge, washing machine and a kitchen sink.

Private Room: As a above but sharing a bathroom.

Shared Room: Similar to a private room but you will be sharing the room with a max of one other person.

You could be staying with just the Host(s) (owner(s) of the property) or a family with children.

Stay providing help: For reduced rent you can offer up to a max of 3 hours per week of help around the home. Please read the room description carefully before applying for these types of stays. It’s your responsibility to ensure that you’re fully aware of your obligations under this type of stay.

As mentioned previously, it’s important to understand, if you’re staying for a long duration, the following types of situations could potentially fall under the Residential Tenancies Act 2004 which supersedes our terms and conditions. Studio, non-owner occupied accommodation, or a self-contained unit. We don’t advertise these types of units and rely on hosts to provide us with the correct information.

Service Fee

The service fee is defined as the payment made to Dub Rooms for making a booking on our platform charged to you, the Guest. The service is fee is for our service which is introducing Guests and Hosts. This fee is our revenue which we use to cover such things as web development, web Hosting, VAT, staff costs and marketing costs to name just a few.

Non-Assignment

Bookings are not transferable. In order to ensure safety, security and peace of mind of our Hosts we do not permit the transfer of bookings to another party. When booking for multiple Guests, the details of the second Guest must have been disclosed and cannot be changed. Any attempt to transfer a booking to a party who was not originally on the booking application will result in the termination of your booking and the forfeit of your service fee.

Property Location

In order to protect the privacy of our Hosts we do not show the exact location of their property but offset the pins on the maps page by an immaterial amount, no more than 5 minutes walk. Once your booking process has been completed, we will provide you with the exact location of the property.

Working or Studying from Home

If you are planning to work and study from home, please make this clear in your profile. While some Hosts don’t mind for other Hosts this will not be possible. It is your responsibility to make the Host aware of your work/study situation before they accept your booking.

If you’re unsure of what your situation could be when your start your new course and job, please also make the Host aware that potentially you may need to work or study from home.

In the event your booking is cancelled due to you not declaring that you intend to work or study from home the service fee will not be refunded.

Cleanliness Standards

We ask Guests to maintain the cleanliness of their accommodation throughout their stay to the same standards their accommodation was in when they arrived. Failure to do so could cause long term problems for the accommodation and also affect others in accommodation you’re staying in.

Failure to maintain cleanliness standards could lead to the termination of your booking by the Host and in the event this happens your service fee will not be refunded.  

Privacy

Your room is your private space for the duration of your booking. The Host can only enter your room under exceptional circumstances such as bi-annual inspection or for safety reasons.

Special needs, physical conditions, disabilities & injuries

We want our platform to be as inclusive as possible. However not all our Hosts can accommodate everyone’s special needs. If you have special requirements such as wheelchair access, please include this in your application. Please read the listing description carefully. For example, some rooms maybe on the third floor with no lift. If you have an injury which prevents you from using the stairs, please make sure you both read the listing to ensure this will not be an issue and include this on your profile for the Host to read.

Failure to disclose material information which results in the Host having to cancel your booking will also mean the service fee will not be refunded.

Using of items in the house

In general you are not permitted to use consumable items (items which dimmish as you use them) in your home which you have not paid for. Any use of such items must be granted by the Host.

Sharing with pets

In some cases our Hosts will have pets living in their home. If you have pet allergies please ensure you disclose this to the Host on your profile before the Host accepts your booking. Also, if the Host has pets and permits Guests to bring their own pets please make sure your tell the Host what type of pet it is.

Failure to make such material disclosures could result in the Host cancelling your booking which if happens will also mean you will not have your service fee refunded.

Bringing a pet into your new home

A significant number of Hosts do not permit Guests to bring pets with them to their new accommodation. If you are bringing a pet please make sure 1) The Host permits you bringing a pet into their home 2) You have made the Host fully aware of the type of pet you are bringing.

It is expected that the pet you bring is well behaved, house trained and in the case when pets are already in the home, your pet is well behaved around other pets. Should the pet cause undue interference with the lives of others in the home the Host has the right to terminate the booking.

Failure to disclose the type of pet you are bringing and undesirable behaviour by the pet you bring into the home is grounds for the Host to terminate the booking which will also result in you losing your service fee which will not be refunded.

Use of the kitchen

Guests have the right to use the kitchen to cook meals. You should also be provided with storage space within the fridge and presses. The following rules apply to using the kitchen:

  1. Both Guests, Hosts and other Guests in the home are required to agree on which cooking times works best for everyone. Host are not permitted to restrict your use of the kitchen which conflicts with work or study hours.
  2. Hosts have the right to restrict certain foods being brought and or prepared in their home. This can be for a number of reasons which can include, allergies or sensitivities, personal beliefs, dietary choices, environmental concerns, animal welfare, health conditions, cultural or religious beliefs, aversion to strong odours. It’s important in your application you include foods which are essential to you so the Host is aware of your needs.
  3. The kitchen should only be used for preparing and consuming meals, it cannot be used as a study or work area.
  4. Guests are expected to clean their dishes, pots, pans etc in a timely after use and to keep the kitchen in the condition they found it in.
  5. Guests are expected to dispose of food in a prompt manner before any food expires and ensure all food is disposed of appropriately.
  6. Guests are not permitted to have any strong odour foods in the fridge e.g. certain cheeses.
  7. Certain foods should be always wrapped using clingfilm or tinfoil. e.g. meats and onions.
  8. If Guests are repeatedly cooking food which gets burned as a result of it being left unattended the Host has the right to terminate the contract. This will also result in your service fee not being refunded.
  9. You are not permitted to use consumables you haven’t paid for e.g. milk, coffee, spices, sauces, kitchen roll etc.

Laundry

You are permitted to use the washing machine twice a week but not the dryer. The Host has the right to set specific times for you to use the washing machine which must not conflict with your study or working hours.

The Host must provide a dedicated space for you to dry your clothes which can be a clothes horse (internal) or a washing line (external).

You are responsible for washing all bed linen or any towels which were provided by the Host.

Wifi & Internet Access

The majority of homes come with internet access via WiFi. However, some may not have internet access but in many cases this may not be a problem as there are very cheap contracts available. For example, you can get a pay as you go contract with Three for as little as €20 per month with unlimited data use.

Smoking Policy

Smoking is not permitted anywhere inside the property and only in a designated smoking area outside if available. This includes all forms of smoking including but not limited to: cigarettes, cigars pipes, hookah and e- cigarettes.

Hosts are not required to provide a smoking area.

Heating, Electricity and Water use

While we hope you have a nice time staying with your Host and create a friendship that will last after you leave. At the same time you are also entering into a commercial contract. Recently the cost of living has increased significantly. Heating and electricity costs have been a major contributing factor. As such we need to set out rules on usage as not doing so could be very costly for Hosts. This could result in Guests and Hosts being in conflict and also reducing the supply of rooms available to Guests.

Guests are required to be mindful of energy and water usage. They are required to:

  1. Not to use heating outside of the normal usage of the Host.
  2. Not to buy and use there own heating devices in the Hosts home
  3. Not to have the room temperature in excess of 20°C and should be ideally be between 15-18°C as recommended by the SEAI.
  4. Not to make any changes to the heating settings.
  5. Not to charge non-essential devices eg electric scooters, electric bikes etc.
  6. Be conscious of the most energy consuming devices: shower (limit to 5-10 minutes), cooker, tumble dryer, washing machine (at a high temperature) and kettle.

Additional Fees to Guests

Guests will not be charged additional fees but at the same time they must be conscious of the impact they are having on utility bills of the host. Hosts have the right to give feedback on Guests impact on monthly bills and Guest must adjust their consumption accordingly.

If however after sufficient notice of excessive usage by the Host to the Guest both the Host and the Guest must come to an agreement as to how the additional costs being incurred by the Host will be paid. The Host mut be able to demonstrate a material increase in usage can be shown since the Guest arrived.

Our guidance on the additional fee calculation is as follows:

((Weekly cost of current bill – average weekly cost before Guest arrived) / (Increase in number of people in the house )) – 8% of the rent * No. of weeks bill is for.

Charging non-essential items

As mentioned above, electric scooters and electric bikes are regarded as non essential items which are not covered as part of the bills which is covered by the rent. If you wish to charge these items please speak with your Host. Charging these items without the consent of the Host is against the terms and conditions of your contract and doing so is a breach of your terms and conditions. 

Our Cancellation Policy

Dub Rooms is a marketplace which connects Hosts and Guests together. Once a Host has accepted a Guest’s booking request Dub Rooms is deemed to have fully performed and delivered its service. As a Guest you agree and understand that once we have fully provided and delivered our service you no longer have the right of withdrawal.

Please see Article 16 of Directive 2011/83/EU of the European Parliament and of the Council of 25 October 2011 for further information.

Host Cancelling

If a Hosts cancels a booking Guests are entitled to another booking without needing to pay the service fee. If however, the Host has cancelled due to the Guest being in breach of our terms and conditions the Guest is not entitled to a refund. Also, if the Guest failed to disclose a material fact which resulted in the Host being forced to cancel a Guest’s booking the Guest is not entitled to a refund.

If the Host has cancelled due to no fault of the Guest during your stay, Guests can either receive a partial refund of the service fee or we can try to provide new accommodation.

Please note the service we provide is that of a marketplace which introduces Guests and Hosts. Dub Rooms is under no obligation to find a replacement accommodation in any circumstance.

Room Allocation

Hosts are not permitted to change rooms from the one you have booked. If they try to do so you have the right to cancel. In such a situation please let us know and we will source a new room for you.

The only exception to this rule is an upgrade eg moving from a single room to a double room.

Breach of the Terms and Conditions

If the Host can demonstrate a Guest is in breach of any of the terms and conditions, is being rude, aggressive, violent or impolite the Host can terminate the booking with immediate effect, no notice will be given. The Guest is expected to respect the terms and conditions throughout the entire period a Guest uses our platform not just from the first day of the booking date. This includes your correspondence with the Host, (eg making requests against the terms and conditions such as having visitors) as well as not showing up for your booking. Should these circumstances arise Dub Rooms will not refund the service fee nor source alternative accommodation.

In the event of a Guest cancelling before the Host has accepted

The service fee will be returned in full.

In the event of a Host not accepting a booking

The service fee will be returned in full.

In the event of a Guest needing to change booking dates

The service fee will not be returned as we have delivered our service. But we can try to source accommodation for you free of charge if it is needed. Please speak with the Host first.

In the event of a Host needing to change booking dates

The service fee will not be returned as we have delivered our service. But we can try to source accommodation for you free of charge.

Visitors

You are prohibited from bringing visitors in your Host’s home. Doing so is a breach of the terms and conditions of your booking . You are also prohibited from asking Hosts if it is ok to have visitors in their home.

Extending your stay

You are free to extend you stay beyond the 18 months currently in place on our website. Please note if you do not book through our website our terms and conditions are no longer valid for both parties.

Early Termination

You must give you host 14 days notice if you need to terminate your booking early. Please note the service fee will not be refunded in such circumstances.

Deposit

Your deposit should be returned in full if you have not caused any damage to the Hosts property and have either come to the end of your contract or given your Host sufficient notice (14 days).

If the Host refuses to refund your deposit please contact Dub Rooms. While we do not offer an arbitration service we would like to be aware of Hosts who are not returning deposits. You also have the legal option of pursing the matter through the small claims court provided your Host as offered your room through a licensing agreement. Otherwise you’ll need to contact the RTB.

In the case when you have caused damage to the property you and your Host must come to a mutual agreement as to the cost of the damage caused. In the case of the damage being less than the deposit the remaining balance should be returned to you.

In the case of it being in excess of the deposit you have a legal obligation to pay for the damages caused. If however, you disagree either that you were not responsible for causing damage or the estimate of the damages caused were excessive we would recommend you pursue the matter through the small claims court. Note this option is only available when the amount is less than €2,000.

Disclaimer

The Guest accepts and fully understands Dub Rooms is a marketplace. We can only rely on the information provided to us by Hosts and some of that information is difficult to validate. Dub Rooms would never place a Guest in a harmful environment or connect Guests to Hosts that that engage in illegal behaviour. It must be fully accepted by the Guest that Hosts act of their own free will and positive behaviour by the Host cannot be guaranteed.

Also note, it is the responsibility of the host to ensure their property meets all of the health and safety requirements. Even if we visit a property, it is only to confirm the property exists, the person listing the property has access to the property and to provide you with pictures of the property to help you in your decision-making process. We do not conduct any health and safety checks.

Terms and Conditions – Hosts

Dub Rooms agrees to introduce Hosts to Guests under the following conditions:

Reliance

We are placing reliance on the information given to us by both Hosts and Guests to be true.  The Hosts confirms that all information is true, accurate and complete and they are prepared to Host Guests in their home. The Host agrees they have disclosed all material information and there is no reason to the best of their knowledge why they would not be a suitable Host.

Acceptance of Liability

We assume you are fully compliant with the laws of Ireland in renting out a room in your home. If you breach those laws and as a result Dub Rooms suffers any financial loss as a result of your actions you take fully responsibility for those losses incurred by Dub Rooms.  

Conditions

The Host agrees to fully comply with:

  • You are the owner or co-owner of the property and or, you have the right to rent out the accommodation you have listed on our website.
  • Provide the Guest with a provide room as described on our platform, access to common areas which must include a bathroom (if not ensuite) and a kitchen.
  • To contact (email,  telephone or video call) the Guest within 48 hours of accepting their booking to introduce yourself and to arrange arrival dates and times.
  • To provide a clean room and accommodation. A friendly, inclusive and secure environment for the Guest.
  • Your home must be free of mould and the bedroom should be draft proof.
  • To provide the Guest with a furnished bedroom with duvets, pillows, sheets and covers and a comfortable mattress. (Air mattresses are not acceptable.) Closet space and lighting.
  • Provide use of a washing machine twice per week and a means of drying clothes eg clothes horse or washing line. (Guests are not permitted to use the dryer to dry clothes).
  • Provide the Guest with the means of accessing the property eg Key and or alarm codes.
  • Review with the Guest the specific house rules which were not part of the standard rules but were provided to the Guest in advance of their booking to ensure they are full understood.
  • To mutually respect different cultural backgrounds, beliefs and be considerate of Guests needs.
  • The number of people living within the property must not materially increase for an extended period of time from what was previously described in your listing.
  • General house keeping must be discussed with the Guest such as cleaning of common areas. House keeping must be divided fairly amongst all those staying in the house and unless Guests have applied for a helping accommodation, Guests must never be responsible for 100% of the house keeping.
  • If a Guest has applied for a helping accommodation the max number of hours they can provide is 3 per week and only do the tasks as described in your listing.
  • Guests are not permitted to use a landline unless in the case of an emergency.
  • If a Guest is in a shared room there can only be a max of one other person in the room.
  • If you are providing a room in your home, it is under license agreement and are not legally required to register with the RTB.
  • Comply with all health and safety regulations of Ireland.

Fees

We do not charge any fees to Hosts for finding Guests. Dub Rooms cannot guarantee all the expectations of Hosts will be met and Dub Rooms does not guarantee finding Guests for Hosts.

Home Rules

Home rules outside of the general rules of Dub Rooms must be added to your listing in advance of the Guest making a booking. The general rules are sent to both the Guest and the Host so there is no confusion.

Material Information

Please include all material information on your profile which will help our guests to make an informed decision about staying in your property. These include but are not limited to:

  • If there are children living in the property
  • If there will be restrictions on the purchase of food eg meats or use of certain types of food used in meal preparation eg spices
  • If you live in a remote area
  • If you work night shifts
  • If you have pets
  • If you smoke
  • If there will be an renovations work being carried out during their stay
  • How many people will be living in the property for the duration of their stay.

Additional Fees to Guests

Guests will not be charged additional fees but at the same time they must be conscious of the impact they are having on utility bills of the host. Hosts have the right to give feedback on Guests impact on monthly bills and Guest must adjust their consumption accordingly.

If however after sufficient notice of excessive usage by the Host to the Guest both the Host and the Guest must come to an agreement as to how the additional costs being incurred by the Host will be paid.

The Host mut be able to demonstrate a material increase in usage can be shown since the Guest arrived.

Our guidance on the additional fee calculation is as follows:

((Weekly cost of current bill – average weekly cost before Guest arrived) / (Increase in number of people in the house )) – (8% of the rent * No. of weeks bill is for).

 

Minimum Notice & Early Termination

We require that Hosts give a minimum notice of 14 days to the Guest and Dub Rooms, when possible, should they cancel before the Guest has arrived. However, if the Guest is not adhering to the terms and conditions set out by Dub Rooms, engages in illegal activity, is being aggressive or rude to Hosts or is a security risk the contract can be terminated immediately.

We also require the Guest to provide a minimum notice of 14 days. Once the Guest has provided the minimum notice period, they are entitled for the deposit to be refunded in full provided there has been no damage caused.

If a Guest ends a stay shorter than the booking date, we will try to source a new Guest. However, Dub Rooms assume no responsibility for sourcing new Guests or for any loss of income as a result of a Guest ending their contract early.

No Curfew

All Guests are 18 and over so no curfew should be applied.

Low Noise Policy

Please clarify with the Guest they are fully aware of when noise is acceptable and unacceptable. In our house rules we have stated between 10pm and 7am. But if these hours don’t suit you please make sure they are mentioned on your listing.

Heating, Electricity & Water

As mentioned a fair use policy is in place for utilities. Given the high costs of electricity and heating it would be unfair to Hosts not to have restrictions in place.

Hosts are required to maintain a room temperature of in the bedrooms of 15 – 18 °C.  Guests should not request a temperature above 19 °C as recommended by the SEAI.

  • Guests cannot use their own heating devices in their bedroom.
  • Guests should not request the heating to be turned on outside of it normal use.
  • Guests should never change the settings on the heating controls but may adjust the TRV on the radiator in their bedroom.
  • Guests are required to turn off all appliances and lights when not in use.
  • Recommended shower time of 5-10 minutes.

Use of the Kitchen

We encourage Guests to use the kitchen so they can cook healthy low cost meals. Please note the following:

  1. The kitchen will have at a minimum, a hob, oven, fridge, washing machine and a kitchen sink.
  2. Hosts are permitted to impose certain restrictions on when to use the kitchen to cook but the kitchen must be made available to cook at least 3 times per day. In addition, those cooking times must not conflict with work or study requirements. If you need restrictions placed on using the kitchen please add this to your profile.
  3. Each Guest in the home must be permitted reasonable time to prepare meals.
  4. Guests will always have access to the kitchen to get food from the fridge or other forms of storage.
  5. Guests are expected to clean after eating in a prompt manner.
  6. Guests are responsible for ensuring expired food is disposed of promptly and correctly.
  7. The kitchen is to be used for cooking, eating and preparing meals. It should not be used as a study or work area unless permitted by the Host.

Studying & Working From Home

If you have any issues with Guest working or studying from home please mention this in your listing.

Privacy

Guests have the right to privacy and their room is their private space. You are not permitted to enter their room unless there is a security risk such as appliances left on or a window left open.

Restricted Access

If there are rooms which you would like to keep for yourself and restrict access to the Guest please mention this in your listing. Eg living room.

Special Needs

We would like to be an inclusive platform. We are aware in some circumstances people with special needs which may arise for example, through a physical disability, may use our platform. If there are aspects of your property which may cause problems for people with special needs please mention this in your listing. Eg if you live on the third floor but the lift doesn’t work.

We also ask all Guests with special needs to mention this in their application so both parties are fully informed.

Help in Home

If you are adding a listing to our platform which offers reduced rent in return for help in your home please note the maximum number of hours is 3 per week. In addition, what those tasks are must be stated very clearly and have no room for misinterpretation.

For example, if you want to get help looking after children you must clearly state when, day & times, this is likely to take place.

Sharing With Pets

If you have pets in your home please mention this in your listing as some people have allergies. If you have a pet and are allowing Guests to bring their pets please ensure your pet interacts well with other pets.

Laundry

As mentioned above Guests are permitted to wash their clothes twice per week and not permitted to use the dryer. They must be provided with a means of drying their clothes. If drying clothes indoors please ensure the room is properly ventilated to prevent mould.

Internet Access

You are not required to have internet access as it can be purchased quite easily and accessed using a phone. However, unless stated on your profile it is assumed you have internet access.

Location and Local Amenities

If you live in a remote area with no supermarket or public transport please mention this on your listing.

Breach of Terms & Conditions

Should a Host breach any of the terms and conditions the Guest has the right to terminate the contract immediately without incurring any costs.  The Host will return any rent prepaid as well as the deposit in full.

Dub Rooms reserves the right to remove any Host we feel is in breach of our terms and condition                s.

Visitors

Guests are prohibited from bringing visitors into a Host’s home. Doing so is a breach of our terms and conditions. Guest’s are also prohibited from asking Hosts to bring visitors into their home.

Food Restrictions Policy

Hosts have the right to restrict the use of certain foods on their property due to factors such as allergies, cultural or religious beliefs, environmental concerns, animal welfare principles or health conditions. This may include meat, diary. It can also include spices which can affect the air quality, affecting those with respiratory illnesses or those sensitive to changes in air quality.

The Guest is required to clearly state in their application the types of food which is essential. Should a Host place a restriction on a type of food and as a result the Guest cancels their booking and the Guest never stated this type of food is an essential food item the service fee will not be refunded.

Alcohol & Drug Policy

Guests agree to not bring or consume alcohol or illegal drugs on the Property during their stay. Guests also agree not to be under the influence of alcohol or illegal drugs while on the Property. The host reserves the right to terminate your booking with immediate effect if such an event occurs. Termination under these circumstances will result in you forfeiting your service fee, it will not be refunded and we will not source an alternative accommodation for you.

While we appreciate this seem like an extreme condition, however we work with older people and families with young children. We have to put the safety of our hosts and their families first. 

Smoking Policy

Guests are not permitted to smoke anywhere inside the property and only in a designated area outside if available. This includes all forms of smoking including but not limited to: cigarettes, cigars pipes, hookah and e- cigarettes.

Hosts are not required to provide a smoking area on their property.

Rental Payment

The Guest will pay to the Host one week’s rent as a deposit and one week in advance. The method of payment is at the discretion of the parties. This must be paid on the arrival date and not before.

We will provide a payment schedule to both parties so it’s very clear when payments are due and the amounts that are due.


Deposit

Deposit – Collected On Arrival

Hosts collect one week’s rent as a deposit from Guests on the day they arrive. Hosts are not permitted to request any payment before the Guest arrives. Doing so is a breach of our terms and conditions of service. The deposit is only to be used in the case of Guests causing damage, not cleaning or leaving possessions or not paying rent or termination of their contract early.

The deposit collected from the Guest cannot be used for anything else other than the above.

Deposit – Return Procedure

The deposit should be returned in full on the Guest’s last day if no damage has been caused to the property and the Guest is vacating the property at the end of the contract term and has given sufficient notice to the Host and has returned the room in it’s original condition with acceptable wear and tear.

In the case of damages, a fair estimate of the damage caused should be estimated and mutually agreed. In the case of the damage being less than the deposit a partial return of the deposit must be made.

In the case of the damage exceeding the deposit the first step will be to agree mutually the cost of the damage and the Host and Guest should try to resolve situation amicably. In extreme cases when this is not possible, and the damage caused is less than €2,000 we would recommend going to the small claims court.

Photos Provided by Host

Photos provided by the Host or those taken by us are assumed to be representative of the room you are listing, and they are aligned to its current state. Guests have an expectation that there will not be a material difference between the pictures in the listing and the current state of the room.

Photo Release

The Host agrees to give us permission to use pictures on their listing they have provided Dub Rooms with or for Dub Rooms to use the pictures we have taken of your property.

Verified Address & Identity

Hosts have the option of having both their ID and address verified and a verified icon will be added to their listing. Hosts can submit a copy of a utility bill or a copy of their ID such as a driving license or a passport.

Room Allocation Policy

Hosts are not permitted to switch rooms. If Hosts need to switch rooms as a result of circumstances beyond their control the Guest must agree before arrival at which point the Guest can either accept or reject your offer. The only exception to this rule would be if the room is an upgrade. Eg Moving from a single room to a double room.

Host Address

We do not share your address with the public. On your listing we only show and approximate location of your property. However, once you have accepted a Guest we share with them your address and contact details to facilitate communication between both parties.

Guests have the right to use your address for essential administrative tasks such as obtaining a PPS number, a visa, a bank account and employment.

Guests are not permitted to receive post which is non-essential to your address without prior permission.

Exclusion of Responsibility

The Host acknowledges that Dub Rooms needs to place reliance on the information provided by the Guest and can be difficult to verify some information provided. Dub Rooms will review the information provided by the Guest and ensure it does not suggest or lead to suspicious or illegal behaviour by the Guest. It’s important to not Dub Rooms is in no way responsible for Guest’s behaviour, nor does Dub Room give an guarantees of Guests behaviour.

The Host further acknowledges that Dub Rooms is a marketplace and Dub Rooms role is to provide introductions to Hosts and Guests. Hosts are ultimately responsible for deciding which Guests come to stay in their home.

The Host takes complete responsibility and assumes all risks associated with any injury or damage that may occur during the Guest’s stay at their property. The Host hereby releases and permanently discharges Dub Rooms, along with its owners, agents, and employees, or any related third party from any and all actions, causes of actions, suits, claims, or demands that might arise due to the Guest’s involvement in the stay.
